How to Run More Effective Meetings

The average professional spends 23 hours per week in meetings—and much of that time is wasted on unproductive discussions. Learning to run efficient meetings and properly document outcomes can dramatically improve team productivity.

Before the Meeting

  • 1. Define a clear agenda with specific topics
  • 2. Share the agenda at least 24 hours in advance
  • 3. Only invite people who need to be there
  • 4. Set a specific start and end time
  • 5. Assign a note-taker before the meeting starts

After the Meeting

  • 1. Send summary within 24 hours
  • 2. List all action items with owners and deadlines
  • 3. Document key decisions made
  • 4. Note any follow-up meetings needed
  • 5. Track action item completion

The Anatomy of Effective Meeting Notes

Good meeting notes capture the essential information without being a word-for-word transcript. They should be scannable, actionable, and help attendees (and non-attendees) understand what happened.

Context

Meeting title, date, attendees, and purpose. Sets the stage for the notes.

Discussion Points

Key topics covered, different perspectives shared, and important information discussed.

Outcomes

Decisions made, action items assigned, and next steps identified.

Writing Clear Action Items

An action item should answer three questions: What needs to be done? Who is responsible? When is it due?

Meeting Types and Their Purposes

Stand-ups: Quick daily syncs (15 min max). Focus on blockers and priorities.
Brainstorms: Generate ideas without judgment. Document all suggestions for later review.
Decision meetings: Come with clear options. Leave with a documented decision.
Status updates: Often better as async docs. Only meet if discussion is needed.
1-on-1s: Focus on the individual. Not a status report—a coaching conversation.
